One handover record
Your home record is HC-104. The owner-services coordinator receives the approved handover record from the closing lead, so information does not disappear between teams.
Coordinator: Elena Ruiz
Next coordination update: 6 November 2026, by 5 p.m. Mazatlan time.
What happens next
- Confirm the ownership and service terms. The buyer reviews the governing documents, costs and access conditions. The closing professional resolves legal questions; the residential team confirms operational details.
- Complete the transaction requirements. The closing lead confirms the required documents, approvals and payment instructions through the verified transaction channel. An estimated date remains subject to its dependencies.
- Agree the physical handover. The developer’s handover lead records keys, equipment information, warranties and outstanding items. Each open item needs a responsible person and next update.
- Introduce owner services. After authorised confirmation, Elena sends the owner-account invitation and first-month checklist. Household registration is reviewed separately from access approval.
Try the readiness check
Select the three example confirmations. A missing requirement stays visible; ticking a box here does not approve a real closing.
Your first month / household setup
A thoughtful start.
Whether this is your everyday home or a place you return to, one registration brings your household details together. Review your details before confirming your household record.
- Open your owner account. In the welcome email, choose Activate owner account, verify the invited email and create your password. The account reference shown here is HC-104.
- Register the people and details that belong to your home.Check the owner contact, add household residents and record the vehicle and pet information below. Each adult would receive their own account invitation after review.
- Keep your confirmation.Registration is first received for review. Gate access remains pending until the team confirms approval; submitting a form does not activate access.

Already using autopay?
A saved card or old portal bookmark does not confirm that autopay is active. In a live account, check the current mandate, next collection date, account reference and payment method. When a provider changes, the transition notice should explain whether a new authorization is required and how to avoid a duplicate payment.

Why might access be temporarily unavailable?
A closure notice identifies the affected facility, reason, expected duration, available alternative and next update. Emergency restrictions take precedence over the normal hours. Owner services retains the access record and coordinates any correction.

Annual operating income and planned operating expenses are balanced.
Reserve contributions

| Operating account | Annual budget · USD |
|---|---|

| Landscaping & irrigation | $18,000 |
| Common-area utilities | $16,000 |
| Pool & fitness maintenance | $14,000 |
| Common-area insurance | $10,000 |
| Accounting, legal & notary | $5,840 |
| Operating supplies | $2,000 |
| Routine common-area repairs | $2,000 |
| Total operating expenses | $123,840 |
Total 2027 assessments: $154,800. Twelve two-bedroom homes × $7,800 plus six three-bedroom homes × $10,200. Operating expenses: $123,840; reserve transfers: $30,960; planned operating surplus after transfers: $0.
Why can assessments differ between residences?
Each community’s governing documents and approved allocation schedule determine how costs are shared. The basis may include recorded ownership interests or defined service categories; bedroom count alone does not establish an owner’s share. The two- and three-bedroom fees shown here are illustrative amounts, not a standard luxury-community formula.
Budget and actual spending
Ten months ended 31 October 2026 · USD · Accrual basis. Variance is actual spending less budget.
| Account | YTD budget | YTD actual | Variance |
|---|---|---|---|
| Management & administration | $19,000 | $19,000 | — |
| Security & access control | $25,000 | $25,000 | — |
| Landscaping & irrigation | $14,000 | $14,000 | — |
| Common-area utilities | $12,500 | $12,750 | $250 |
| Pool & fitness maintenance | $11,000 | $10,800 | −$200 |
| Common-area insurance | $8,000 | $8,000 | — |
| Accounting, legal & notary | $4,200 | $4,200 | — |
| Operating supplies | $1,500 | $1,500 | — |
| Routine common-area repairs | $1,600 | $1,600 | — |
| Total | $96,800 | $96,850 | $50 |
Two items to note
Common-area utilities · +$250. A modest increase in shared-area electricity use during warmer weather. Consumption will be reviewed with the next utility bill.
Pool & fitness maintenance · −$200. A scheduled service visit moved to November; the cost remains in the annual plan.
Reserve fund: opening balance to closing balance
| 2027 reserve movement | Amount |
|---|---|
| Opening cash · 1 January | $80,000 |
| Contributions from assessments | $30,960 |
| Interest income | $1,200 |
| Planned expenditure · pool equipment | ($12,000) |
| Projected closing cash · 31 December | $100,160 |
Funds are designated for common assets, not routine private-home repairs. A cash balance by itself does not establish that reserves are sufficient.
| Component | Current replacement estimate | Remaining life | Planned timing |
|---|---|---|---|
| Pool circulation equipment | $12,000 | 1 year | 2027 |
| Gate operator & controls | $9,000 | 3 years | 2029 |
| Walkway lighting renewal | $18,000 | 5 years | 2031 |
| Shared roofs & waterproofing | $90,000 | 8 years | 2034 |
Planning estimates at 1 January 2027, not a completed reserve study. Future inflation, condition, timing and funding must be assessed before a funding conclusion or levy.
What is outside this assessment?
Private-home utilities, taxes, insurance, trust fees, housekeeping, private repairs and private furnishings are owner costs unless an executed agreement expressly includes them. Special assessments require a separate purpose, authority, allocation and due-date notice; none is on HC-104’s January statement.

Services for your residence
Private-home care is arranged under a separate management agreement. Your service schedule confirms the included visits, staff-hours, supplies and charges before work begins.
| Service | What to expect |
|---|---|
| Home oversight | Scheduled inspection, a concise condition report and coordination of approved work. |
| Housekeeping | A confirmed visit schedule and cleaning scope, with any laundry, deep cleaning or additional visits identified. |
| Maintenance | A defined labor allowance; additional labor and specialist work quoted for approval. |
| Parts & procurement | Materials and procurement charges listed separately, supported by supplier documentation. |
For any additional work, you receive the scope, price including applicable tax, access arrangements and completion record. Changes to scope or cost require your approval.
View the illustrative service and fee schedule
| Service | Two bedrooms | Three bedrooms |
|---|---|---|
| Monthly home oversight · inspection plus 2 routine maintenance staff-hours | $120 | $180 |
| Housekeeping · 20 weekday visits / month | $1,400 · 2 staff-hours per visit | $2,100 · 3 staff-hours per visit |
| Additional housekeeping | $35 / staff-hour | $35 / staff-hour |
| Additional routine maintenance | $45 / staff-hour | $45 / staff-hour |
USD before applicable tax; the quotation shows the final total. Staff-hours are the combined time of all assigned staff. Unused maintenance time expires monthly. Parts, specialist contractors, laundry, deep cleaning and extra visits are outside the stated allowance unless expressly included.
Materials are billed at supplier invoice cost. A separately agreed 10% procurement charge applies to approved materials only, not to taxes, insurance, utilities or trust fees. Included labor is not billed again.
Fractional ownership: a separate cost model
Harbor Court’s main guide is whole ownership. The expandable example below shows how a different client’s fractional module would explain annual charges without treating an annual fee as a nightly rental rate.
View the fractional fee-allocation example
| Residence | Annual whole-home cost pool | One 1/52 interest | Two 1/52 interests |
|---|---|---|---|
| Two bedrooms | $78,000 | $1,500 annually | $3,000 annually |
| Three bedrooms | $104,000 | $2,000 annually | $4,000 annually |
Calculation: approved annual residence cost pool × ownership interest. A one-week entitlement does not mean the fee is payable only when that week is occupied. Booking rights, maintenance closures, included cleaning, utility allowances, reserve contributions and overages must each be stated in the relevant agreement. This separate allocation model does not change the Harbor Court assessment schedule.

| Pool & fitness room | Open 7 a.m.–9 p.m.; registered households and up to four accompanied guests per residence. No lifeguard. Children under 16 require adult supervision. | Register guests before their visit. |
| Entry credentials | Issued to approved household members. Visitors and contractors receive a dated authorization; household registration alone does not activate entry. | Use Household & access. |
| Quiet enjoyment | Quiet hours 10 p.m.–8 a.m. Report a disturbance with the location and time; do not confront a person if unsafe. | Contact the residential team. |
| Pets | Leash in shared areas; collect waste immediately. No pets inside the pool enclosure or fitness room except assistance animals where applicable. | Include pets in household registration. |
| Parking & deliveries | Use the space assigned in your home record. No parking in fire lanes; oversized deliveries need an access window and protection plan. | Arrange deliveries with owner services. |
| Guests & rentals | Hosts remain responsible for their guests. Rental approval, minimum term and access must be checked against the governing documents; no rental entitlement is created by this guide. | Request the rental-policy record before advertising. |

| Exclusive-use terrace | Use assigned to a home; structural and surface responsibilities follow the recorded schedule. | Do not assume exclusive use means ownership or sole repair liability. |
| Independent beach club / resort | Separate operator; no membership included in this model. | Separate membership and consumption charges if contracted. |
